Assign, update or remove a skill

Record that an operator has a skill, update it after a new assessment, or remove it.

Written by Charlie Durand

Assigning a skill means recording that an operator has this skill: at which level, since when and with which proof. You usually do it after a training, a test or an observation on the shop floor.

Who can assign skills?

  • Organization admins can assign skills to any operator of the organization.

  • Site admins can assign skills to any operator of their site.

  • Team admins can assign skills only to operators who belong to their own teams.

If you open an assignment for an operator outside your teams, you will see: "You cannot edit this assignment as this user is not part of your team(s)".

Assign a skill

Step 1: Click on the cell

In the skills matrix, find the operator's row and the skill's column, then click "Assign" in the cell.

Step 2: Fill in the details

  • Level (skills on a scale only): select the level reached by the operator.

  • Validity start date (skills with a validity period only): the date of the assessment or training. It cannot be in the future. Fabriq shows the date when the skill will expire.

  • Comment (optional): any useful observation, for example "Assessed during the night shift by J. Martin".

Step 3: Upload evidence

Add the files that prove the operator has the skill: a training certificate, a signed assessment sheet, a photo of a licence…

Depending on your organization's settings, evidence may be mandatory. In that case, you cannot save the assignment without at least one file.

💡 Even when evidence is optional, adding it saves time during audits: the proof is attached to the skill, not stored in a separate folder.

Step 4: Click "Assign"

The cell of the matrix is updated immediately.

View an assignment

Click on a filled cell to open the Skill assignment panel. You will find:

  • The status: Valid, Certified, Expiring soon or Expired

  • The details: level, expiration date, last update date

  • The latest evidence uploaded

Update an assignment

Update an assignment when the situation of the operator changes, for example:

  • The operator has progressed and reached a higher level

  • The operator has been re-assessed and they don't actually have the level

Open the assignment panel, click "Update", change the level and/or the validity start date, add new evidence if needed, then save.

Remove an assignment

Remove an assignment when the operator no longer has the skill, when it was recorded by mistake or when it has expired.

  1. Open the assignment panel.

  2. Click "Remove assignment".

  3. Write a comment explaining the reason. This comment is required, so that the reason stays traceable.

  4. Confirm.
