Set up your workstation matrix and check operator competency

See which operators are competent on each workstation, and understand why an operator is or isn't competent.

Written by Charlie Durand

The workstation matrix shows your operators in rows and your workstations in columns. Each cell tells you whether an operator is competent to work on a workstation.

It helps you answer everyday questions such as "Who can replace an absent operator on this line?" or "Which workstations depend on a single person?".

What does "competent" mean?

An operator is competent on a workstation when they meet all the required skills of this workstation:

  • For each certified skill: a valid certification

  • For each skill on a scale: a level equal to or higher than the expected level

If even one requirement is missing, below the expected level or expired, the operator is not competent.

💡 Example: the workstation "Press 4" requires "LOTO" (certified) and "Changeover on press 4" at level 3. Marie is certified LOTO and has level 3 on the changeover: she is competent. Paul has level 2 on the changeover: he is not competent yet, even though he is certified LOTO.

The workstation matrix needs at least one workstation on your site. See: Create a workstation and define its required skills.

Who can access the workstation matrix?

Organization admins, site admins, team admins and team coordinators can create a workstation matrix view based on the operators and workstations of the sites they belong to.

Set up your matrix

The setup works like the skills matrix, and your selection is also personal: it does not change what other users see.

  1. Open the workstation matrix and click "Create my workstation matrix".

  2. Choose a site.

  3. Select the workstations you want to display.

  4. Select the operators you want to display. You can filter by team or by zone.

  5. Save.

To change your selection later, click "Edit workstations matrix".

Read the matrix

  • Each cell shows whether the operator is Competent or Not competent on the workstation.

  • Under each workstation, you see how many operators are competent for it.

  • In the header, you see how many operators will soon lose their competency because one of their required skills is about to expire.

Understand an operator's competency

Click on a cell to open the Operator competency panel. It lists every required skill of the workstation and compares what is expected with what the operator has:

Status

What it means

Met

The operator meets the requirement.

Below expectation

The operator has the skill, but at a lower level than expected.

Missing

The operator has never been assessed on this skill.

Expiring soon

The requirement is met, but the skill will expire soon.

Expired

The skill has expired.

From this panel, you can directly assign or update a skill (if you have the rights). You then come back to the panel to see the result.

How to use it day to day

  • Plan your shifts: check who is competent before assigning operators to workstations.

  • Spot risks: a workstation with only one or two competent operators is at risk if someone is absent.

  • Build your training plan: the "Below expectation" and "Missing" statuses show exactly what each operator needs to learn.
