Creating a document type

To guide the document creation process, you need to create a document type. You can configure its name, required fields, a filling template, and instructions.

Since types are standards, only the organization’s admins can create document types.

Access the document types page

You can access it either:

  • From the knowledge base

  • From the organization’s admin page

1. General Settings

  • Add the document type name (e.g., lessons learned, best practice, work instructions, etc.).

  • Define whether validation by third-party users before approval is mandatory.1.

2. Fields

Define whether the field is:

  • Optional (available but not mandatory)

  • Required (the document cannot be published until the field is completed)

  • Hidden (the field will not be available)

3. Template

This step allows you to define the filling template to guide the writer in creating the document.

Creating a document

To create a document, you need to:

  • Go to the Knowledge Base page

  • Click on "Create a new document"

  • Select the appropriate document type to create the document

Write the document

Fill the mandatory fields*(characterized by an asterisk )

What can be integrated into the documents?

To write in the document, you must click on the / sign and then select the appropriate option.

You can also write first, then select the text and modify the formatting afterwards.

Formatted text

Action: / + title, list, paragraph, ...

Table

Action : / + tabble

You can integrate tables as well as images within the tables.
(/ in the cell, then click on "Image in the table")

Image and video

Action : / + image or video

PDF

Action : / + pdf

You can integrate a PDF document, which will be directly readable and displayed within the document. This can be useful if you don't want to copy the document into Fabriq.

Iframe

The document you see below is a PDF stored on a SharePoint and displayed in Fabriq. This means you can store items outside of Fabriq and display them directly in our application. As shown above, this solution is useful if you already have content created and don't want to recreate it in our application.

For more information on iframes, please refer to this article: Iframes in Fabriq.

PS: We recommend creating documents directly in our application, as this will allow you to find them easily via the search function and take advantage of versioning features. This is not possible if the information is stored outside of our application.
