Circulate a document
Once your document has been published, you can distribute it to users within teams and request confirmation that they have read it.
Step 1: Click “Circulate the document”
Step 2: Select the users
Select the users within each team who need to confirm that they have read the document. You can search by team and filter by site.
You can select all users at once by clicking “Select all.”
Find documents awaiting your acknowledgement
If you need to confirm that you have read a document, you will receive a notification. You can find the list of documents awaiting your acknowledgement in the Knowledge Base’s “To do” section.
Confirm that you have read a document
You can record an acknowledgement in the following ways:
As a user:
Confirm that you have read the document by clicking “I confirm that I have read the document.”
If the document does not apply to you, select “I am not concerned.”
As a team admin:
Confirm that another user has read the document. For example, if a document is shared during a meeting, the team admin can select the attendees and confirm that they have read it.
Mark the reading acknowledgement as not applicable for a user.
Knowledge widget in the team space
Standards reminders and best practices are often shared during performance meetings. To support this use case, we created a “Knowledge” widget that displays the documents team members need to read.
For a document to appear in this widget, at least one member of the team must be required to confirm that they have read it.
The displayed ratio shows the number of users who have confirmed that they have read the document compared with the total number of users required to do so.
Track acknowledgement progress
You can track the document’s acknowledgement progress in the “Request acknowledgement” panel.
