Approving a Document

Request a review of your documents by third parties for validation before publication.

📝 Request a document review and approval

Approval by another user can only be requested for a document type if this option was enabled when the type was created.

Step 1: Find the documents awaiting your review

Once the review and approval request has been sent, the reviewers receive a notification and can find the documents awaiting review in the Knowledge Base’s “To do” section.

Step 2: Review and approve the document

In the document’s “Activity” section, you will find:

  • An option to leave a comment and request changes to the document

  • An “Action required” section where you can approve the document

If a comment is added, the author and the other reviewers receive a notification.

Step 3: Address requested changes

If the author changes the document in response to comments, the review process is reset. For example, if you approve a document and another reviewer subsequently requests a change, you will need to approve the updated document again.

📖 Publish the document

Once all assigned reviewers have approved the document, the author can publish it.

The document appears in the Knowledge Base’s “To do” section with the status “Ready to publish.”

The author can then publish and share it.

🔎 View the approval history

For traceability purposes, an approved document can no longer be edited, but a new version can be created.

The document’s activity feed contains the history of comments associated with change requests. It also shows the reviewers and their approval dates.
